Gala Policy

Open Meets

If you withdraw your child from an event prior to the gala, you must inform the organising club and copy in our Head Coach.

If your child wishes to withdraw from an event during the meet, this must be agreed with their coach or available coach on poolside.

All swimmers must wear Leamington kit for all Open meets.

All swimmers must be on poolside no later than 20 minutes before the warmup.

All swimmers must complete the pre pool, pool warm up and swim down/post pool as directed by the coaches.

All swimmers must speak to the coaches before and after their race.

Swimmers may only leave poolside with permission from the coaches or Team managers.

Swimmers are not allowed on the balcony until after they have completed all of their races for the session.

Swimmers must always conduct themselves in a way that reflects well on the club

Team Galas

When you are selected for a team gala, please tick your name off ASAP, if you are not available, please notify your coach with the reason.

All swimmers must wear Leamington kit for all Team Galas.

All swimmers must be on poolside no later than 20 minutes before the warmup.

All swimmers must complete the pre pool, pool warm up and swim down/post pool as directed by the coaches.

Food including sweets are not allowed on poolside at team galas.

Mobile phones are not allowed on poolside at team galas.

Swimmers may only leave poolside with permission from the coaches or Team managers.

All swimmers must remain poolside at team galas and support the team until all races have finished, and results have been announced.

Swimmers must always conduct themselves in a way that reflects well on the club.

 

Gala Sign In / Sign Out Procedure

Purpose

To maintain an accurate record of all swimmers attending competitions and to support the club's safeguarding and health and safety responsibilities, all swimmers must sign in and sign out at every Open Meet gala.
This process enables coaches and team managers to account for all swimmers at all times and is particularly important in the event of:

  • A fire alarm or emergency evacuation.
  • A medical incident.
  • The need to locate a swimmer before a race.
  • Any situation where an accurate register of attendees is required.
Sign In on Arrival
  • All Swimmers when arriving on poolside must sign in with the Team Manager or Coach responsible for the attendance register.
  • If a swimmer is unsure who is responsible for the register, they should immediately ask a Coach.
Leaving the Venue During a Gala
  • If a swimmer leaves the venue at any point during the gala, they must sign out with Team Manager or Coach responsible for the register before leaving.
  • Upon returning to the venue, the swimmer must sign back in immediately.
  • This applies regardless of how long the swimmer is away from the venue.Parents/carers should support swimmers in following this process whenever they leave and return.
Final Departure from the Gala
  • Swimmers must not leave the venue at the end of the gala without signing out.
  • Swimmers must sign out with the Team Manager or Coach responsible for the attendance register.
  • If a swimmer is unsure who they need to sign out with, they should speak to a Coach before leaving.
  • Parents/carers collecting swimmers should ensure that their swimmer has signed out before departing.
Responsibility for Swimmers

Once a swimmer has signed in, they remain the responsibility of Leamington Spa Amateur Swimming Club's coaches and team managers until they have formally signed out.
Responsibility transfers back to the swimmer's parent/carer only once the swimmer has signed out and left the club's supervision.

Compliance

All swimmers are expected to follow this procedure at every Open Meet competition. Failure to sign in or sign out may result in coaches and team managers being unable to account for a swimmer during an emergency and could cause unnecessary concern during an evacuation or safety incident.
The cooperation of all swimmers and parents/carers is appreciated in helping the club maintain a safe and well-managed environment for everyone attending competitions.
